How the waitlist works

When does your wait actually start?

Your waitlist place starts at the signed service agreement, not the referral date

Once your referral is received, our intake team issues a service agreement. Your time on the waitlist begins when the signed agreement is returned to us. The sooner it's back, the sooner your 2–4 weeks starts counting down.

The practical takeaway: if you're weighing up whether to refer now or later — refer now. A 20-minute referral today, and a promptly signed agreement, is what locks in your place.

Make your referral

About 20 minutes with your NDIS details at hand. Start the referral — or check availability first if you're not ready.

Sign the service agreement

We'll issue it after reviewing your referral. Returning it signed is what confirms your place. This is when the waitlist clock starts.

Get matched with a practitioner

When your turn arrives, we match the participant with a behaviour support practitioner servicing your region and begin supports.

Waiting is hard, we know. We're doing everything we can to keep wait times down. If you need an update, call us on 1300 824 930. For interim support while you wait, the Carer Gateway is available on 1800 422 737.

FAQ

Wait times, answered

How accurate are these wait times?

They're general bands, reviewed monthly, and can vary week to week as practitioner capacity changes. For a precise answer for your exact location, submit a 2-minute availability check, we reply within 1 business day.

When does my time on the waitlist start?

From the date we receive your signed service agreement, not from the date of referral. After you refer, we issue the agreement; returning it promptly is what secures your place.

My region shows a longer wait, should I still refer?

Yes. Waitlist places are filled in order of signed service agreements, so referring now means your wait starts now rather than months from now. In longer-wait regions like Ballarat or Kalgoorlie, referring early makes the biggest difference.

Is there support available while we wait?

The Carer Gateway (1800 422 737) offers interim support for carers. If your situation changes or becomes urgent while you're on our waitlist, call us on 1300 824 930 and we'll do what we can to help.

My area isn't listed, can Insight PBS still help?

Possibly. We service 30+ regions across VIC, NSW, WA and SA and our coverage grows as our team does. Submit an availability check with your location and we'll confirm within 1 business day.
