Worth having to hand, but not essential: the participant's postcode, plan management type (we support plan-managed and NDIA-managed), plan end date, and whether there are current restrictive practices in place.

If you have none of that yet, book anyway. Plenty of these calls are a coordinator thinking out loud about a case before anything is on paper.

Every call goes directly to one of our two National Relationship Managers. They hold the relationships with our clinical leads in each state, which is why they can give you a capacity answer on the call rather than promising to check and come back to you.

You might be thinking

"Is this just a sales call in disguise?"

No, and it works against us when it is. Taking a referral we cannot service on time helps nobody, least of all the participant. If our capacity in your region is poor, or the presentation needs something we do not offer, we will say so on the call. You are far more likely to come back to us later if we were straight with you the first time.

"Can't I just look at the wait times page?"

You can, and it is deliberately public. But those are general bands reviewed monthly, and capacity shifts week to week. A call gets you the position in your specific region right now, plus the parts that never fit on a table: practitioner level, complexity, travel and timing. See the published bands.

"I have not got consent or paperwork yet."

You do not need any. This is a scoping conversation, not an intake. Do not share identifying details you are not authorised to share. A postcode, an age bracket and a description of the support need is plenty for us to give you a usable answer.

"I have got five participants, not one."

Even better use of the 20 minutes. Bring the list. We will work through them by region and tell you which ones we can take now, which ones will wait, and which ones you should place elsewhere. Book a longer slot if the calendar offers one, or just say so at the start.

Why bother with the call

Three things you cannot get from a website

Most of what you need is already published, on purpose. These are the three things that are not, and they are usually the three that decide whether a referral works.

This week's real capacity

Our published wait times are general bands, reviewed monthly. On a call you get the current position in the exact region, including whether a practitioner has just come free or a caseload has just closed.

Whether the presentation fits

Complexity, restrictive practices, forensic history, dual diagnosis, an interim plan needed at speed. These are practitioner-level questions, and matching them to the right level is the difference between a plan that lands and one that stalls.

What it will actually cost

Which funding line applies, whether travel time and kilometre charges are in play for that postcode, and what a typical month looks like. Our pricing is fully published, but applying it to one participant is quicker out loud.

What happens next

After the 20 minutes

No follow-up sequence, no drip campaign. One of three things happens, and you choose which.

You refer, with a timeframe

We send the referral link straight after the call. The referral takes about 20 minutes with NDIS details to hand, and your place on the waitlist is confirmed when the signed service agreement comes back. See the referral process.

You park it, and we hold the detail

Plan not approved yet, family still deciding, funding not confirmed. We note the region and the timing and you pick it back up when it suits. Nothing is chased.

We tell you it is not us

Wrong region, wrong fit, or a wait that will not work for your participant. We will say so, and where we can, point you towards what to look for elsewhere. It costs us a referral and saves you a fortnight.

FAQ

Booking questions, answered

Is the call really free, and is there any obligation?

Yes, it is free, and no, there is no obligation. Nothing is billed to a participant's NDIS plan for this conversation and you are under no obligation to refer afterwards. It is a scoping call, and a good number of them end with us saying we are not the right fit right now.

How long does it take, and can I get more than 20 minutes?

The standard slot is 20 minutes, which is enough for one or two participants. If you are working through a caseload, book the slot anyway and say so at the start, or ring 1300 824 930 and we will set up a longer conversation.

Who will actually be on the call?

Katryna or Tom, our two National Relationship Managers. Katryna covers New South Wales and South Australia, Tom covers Victoria and Western Australia. The booking calendar allocates the right person for your region.

Do I need consent from the participant or family before I call?

No. Please do not share identifying details you are not authorised to share. A postcode, an age bracket and a description of the support need is enough for us to give you a useful answer on capacity and fit.

Is it a phone call or a video meeting?

Whichever you prefer. Most are phone calls, and Microsoft Teams is available if you would rather see a face or bring a colleague in. Choose when you book.

Can you tell me the wait time for my exact area on the call?

Yes, and that is the main reason to book one. Our published wait times are general bands reviewed monthly, and most regions currently sit at 2 to 4 weeks. On the call you get the current position for that specific region, which can differ from the band.

What if none of the available times work for me?

Ring 1300 824 930 or email hello@insightpbs.com.au with a couple of windows that suit and we will work around them. If a call is not practical at all, the written availability check comes back within 1 business day.

Can I reschedule or cancel?

Yes, from the link in your confirmation email, at any time and without explanation. If something comes up on the day, reschedule rather than pushing through a rushed call.

I am a participant or family member, not a coordinator. Can I still book?

Absolutely. The call is open to anyone thinking about behaviour support: participants, families, carers, support coordinators, schools, accommodation providers and allied health colleagues. We support participants with plan-managed and NDIA-managed funding.

What if I already know I want to refer?

Skip the call and start the referral. It takes about 20 minutes with NDIS details to hand. Your place on the waitlist is confirmed once the signed service agreement is returned, so referring earlier starts the clock earlier.
