How Insight PBS Uses Artificial Intelligence (AI)

At Insight PBS, people always come first. Sometimes we use technology, including Artificial Intelligence (AI), to support our work, but people, professionalism, and choice always guide our decisions.

What is AI?

Artificial Intelligence (AI) is a type of technology that can help with tasks like:

· drafting written information

· organising ideas

· summarising documents

· supporting administration and communication

AI does not think, feel, or understand people. It is simply a tool that can assist staff.

Why does Insight PBS use AI at all?

We may use AI to help staff spend less time on paperwork and more time supporting people.

When used appropriately, AI can:

· improve efficiency

· reduce administrative workload

· support clearer communication

AI is only ever used to support staff, not to replace professional skills, experience, or relationships.

 

Does AI make decisions about me or my supports?

AI is never allowed to make decisions about you, your behaviour support, or your services.

All decisions are made by qualified professionals, using:

· their clinical judgement

· ethical standards

· knowledge of you as an individual

· your goals, preferences, and circumstances

People, not technology, are always responsible.

 

Is my personal information safe?

Yes. Protecting your privacy is essential to us.

Insight PBS:

· follows strict privacy and confidentiality laws

· limits what information can be used with AI tools

· does not allow AI to be used in ways that breach confidentiality

Your personal information is never used carelessly or without safeguards.

 

Can AI write reports about me?

AI may help with things like:

· formatting

· structuring documents

· drafting general (non-personal) wording

However:

· AI cannot replace professional judgment

· All reports are reviewed by qualified staff

· staff are fully responsible for what is written

· reports must accurately reflect you and your situation

AI is never the “author” of participant reports; people are.

 

Are there things AI is never used for?

Yes. AI must never be used to:

· make decisions about people without human oversight

· generate harmful, discriminatory, or inappropriate content

· predict or judge personal characteristics

· replace ethical or professional responsibilities

· breach privacy or confidentiality

These boundaries are part of our commitment to respectful, ethical practice.

 

Will I be told if AI is used?

Yes. Transparency matters.

If AI has supported written content, this is clearly labelled as “AI-generated”, including the tool used. This helps maintain honesty, accountability, and trust.

 

What if there is a problem or concern?

If there is any concern about how AI has been used, Insight PBS:

· takes it seriously

· investigates promptly

· takes action to prevent future problems

You are always welcome to raise questions or concerns.
